📌 Introduction
If a use of your music does not appear in the Royalty section of your Soundreef account, it's recommended to run a few checks first.
🟡 First of all, consider these two fundamental aspects:
✔ Have you correctly registered the track? An unsigned registration is not being monitored, and a track with an incomplete chain of ownership does not facilitate royalty collection.
✔ What are the reporting timelines for each class of rights? If the use is recent, it may simply not have been reported yet.
Below are some useful steps to follow before contacting Support via Messenger on the site or from your account.
1️⃣ Check the reporting timeline
✔ When did the use occur?
Each class of rights has different reporting timelines.
Example: If you registered a track yesterday and its use on Spotify occurred starting from the current quarter, you cannot yet see an Online report, because the distribution for digital platforms starts from 6 months after the end of the usage quarter. Online usages occurring outside Europe are collected through reciprocal agreements, reporting timings may depend on the local collecting society.
📌 Note: Always check the specific reporting timelines for each class of rights. Royalties cannot be credited immediately after a use. Reporting follows the timelines established for each class of rights.
2️⃣ Ensure the track is registered correctly
✔ Has the track been fully registered?
Check in the Tracks section that your registration is complete with all data.
Does the track have all rights holders listed and has it been signed by all Soundreef signatories?
Have the essential metadata, such as the ISRC code, been entered?
📌 Note: A correctly registered track or one complete with all fundamental data facilitates collection.
3️⃣ Public Performances (Live & DJ Set): why is an event not reported?
✔ Possible reasons
The reporting timelines have not yet accrued. Remember that Live and DJ Sets are reported quarterly or, in the case of subscription licenses, at a maximum semi-annual frequency.
The event has been licensed, but the invoice has not yet been paid by the event organizer. In this case, royalties will be reported only after the payment is recorded, within the respective distribution quarter.
The event's Licensing process is still ongoing. It may be useful to contact Support, specifying:
Your Soundreef ID
The name and date of the event
The event was held outside Italy. In this case, procedures in place by the local collecting society must be followed and reporting timings will depend from the local collecting society.
📌 Note: Remember that royalties for Live and DJ Set events are reported quarterly or, in the case of subscription licenses, at a maximum semi-annual frequency.
Live events usages outside Italy are managed through reciprocal agreements established with foreign collecting societies. Reporting timelines may vary based on the procedures and timelines of the respective local societies.
4️⃣ Online: why don't I see published streams?
✔ Possible reasons
The reporting timelines have not yet accrued. Online royalties are distributed quarterly for YouTube uses, and starting from 6 months after the end of the usage quarter for the remaining digital platforms. Usages occurring outside Europe are collected through reciprocal agreements, reporting timings may depend on the local collecting society.
📌 What are YouTube conflicts and how do they affect royalties?
YouTube conflicts occur when multiple Collecting Societies claim the same share of a track, generating inconsistencies in ownership data.
✔ A conflict occurs when the sum of DEM and/or DRM shares exceeds 100%.
✔ In these cases, YouTube suspends royalty payments until the dispute is resolved.
✔ Once the correct distribution of rights among the involved societies is clarified, YouTube releases the payments and Soundreef includes them in the next available report.
⚠️ If your YouTube earnings are blocked, it may be due to a rights conflict. If in doubt, you can contact Soundreef support for further information.
5️⃣ Radio/TV: why doesn't a use appear in the reports?
✔ Possible reasons
Radio/TV royalties are reported between July and October of the year following the use.
Example: If your track was broadcast in April 2024, the related report will be published between July and October 2025.
📌 Note: Soundreef monitoring is an additional service; reporting is based on a cross-match between the annual reports of broadcasters and our surveys.
Usages outside Italy are managed through reciprocal agreements established with foreign collecting societies. Reporting timelines may vary based on the procedures and timelines of the respective local societies.
6️⃣ Mechanical Rights: why don't I see reported uses?
✔ Possible reasons
The specific mechanical rights form, which the producer must obtain in case of physical media printing, is in the process of being completed (by the producer) and received by Soundreef.
The reporting timelines have not yet accrued:
If the product was released by a Major, distribution will occur semi-annually.
If the product was released by an independent producer, distribution will be quarterly.
Usages outside Italy are managed through reciprocal agreements established with foreign collecting societies. Reporting timelines may vary based on the procedures and timelines of the respective local societies.
📌 Note: To report/verify the Licensing of your mechanical product, feel free to contact Soundreef support, indicating
